School outprocessing, documentation

  • Published
Editor's note: This is the second article of a four part series providing advice and direction to parents on issues related to permanent change of station moves and school relocation for their children.

When leaving a location, always give the losing school adequate notice of withdrawal and actually "out process" with the school.

Make sure you get copies of all necessary documentation, even if not provided originals.
Always hand-carry copies of these records - do not put these records in your household goods.

While initial school registration requirements should always be thoroughly researched prior to a permanent change of station, only minimal records will be required to actually enroll your child at the new school location.

These include withdrawal documentation and a report card from the previous schools, birth certificate and/or proof of custody or guardianship, immunization record, Social Security number, proof of parent or custodian address, and, for kindergarteners, a copy of the student's physical examination.

Copies of additional documentation; however, that dependent upon a child's particular situation, may prove helpful at the new location include:

- Course description books
- School profile
- Attendance records, current schedule, withdrawal grades, and class rank
- Transcript/course history (with grading system)
- Cumulative folder (copies of pertinent and helpful historical records)
- Testing information - standardized test scores, end of grade, etc.
- Records of extracurricular activities and/or letters of recommendation (often critical for high school students and others enrolled in specialized sports or academic programs)
- Individual education plans and related records (if applicable)
- DoDEA Individual Accommodation Plans or Section 504 Accommodation Plans and related records (if applicable)
- Special program records (if applicable)
- Fees owed (if applicable)
- Discipline and alternative schools records (if applicable)
- If available and needed: writing samples; action plans for classroom intervention; portfolios; accelerated reader points; service learning hours
